Define the available changes
A name, a color choice and a new illustration are different production requests. List the changes the station is set up to handle. Show approved examples so guests understand the range without needing a long conversation.
Create an approval moment
Ask guests to check spelling, numbers and placement before production. For a roster-based experience, agree who supplies the data and how late changes are handled. Keep only the personal information needed for the job and coordinate handling with the event organizer.
Prepare a graceful alternative
Some requests will exceed the character limit, decoration area or available artwork. Give staff a clear alternative they can offer. Consistent boundaries protect the guest experience and prevent a queue from depending on improvised exceptions.
